Position Summary:
The Senior Operations Manager for Direct-to-Consumer is responsible for developing and managing the inventory process as well overseeing compliance policies, reporting, procedures and systems that support the efficient running of the winery sales business.
Major Responsibilities / Accountabilities
Inventory: 50%
Develop best-in-class inventory process and procedures across Mumm Napa, Kenwood Vineyards and all DTC business
Responsible for all inventory locations and the efficient product movements and accurate reporting between 3PL locations, our wine warehouse and various winery inventory locations
Develop a model to bridge short term (1 year) and long term (10 year) forecast to demand requests for Mumm Napa and Kenwood (Visitor Center, Wine Club, Drinks & Co, B2B)
Reconcile current inventory levels to depletion forecast and be able to identify product gaps to maintain business continuity and growth projections
Liaise with Wine Club, Visitor Centers, Production, Marketing teams to ensure there is a clear and accurate understanding of supply and demand forecasts
Identify expired wine and manage write-off expenses
Ensure wine/merchandise/tasting write off process is adhered to and paperwork is filed
Manage various forecast formats for internal stakeholders by creating an efficient product tracking mode
Operations & Systems Management: 25%
Administer the operations of the POS system which includes but is not limited to: user access and permissions management, sales reporting and reconciliation, SKU setup
Perform reconciliation of sales through 3rd party platforms to JD Edwards
Collaborate with NY counterpart to review budget & asses risk to P&L based on current inventory trends
Analyzes shipping fees and expenses and maintains shipping tables within the POS. Ensures communication with winery sales teams (Wine Club, Visitor Center, Marketing)
Manages monthly visitor center related tasting and bottle/merchandise write off policy, procedures and posting into the G/L at month-end
Owns credit card merchant accounts relationships, corresponding reconciliation and cash & bank deposit reconciliation
Support general ledger posting and necessary adjustments
Be a catalyst for developing and reporting key metrics for DTC such as channel sales, product sales, DTC KPIs, high/low product levels
Act as the point-person for daily operations as it pertains to A/P & A/R, process invoices and tracking to payment, set up new users and manage approver flow
Compile payroll biweekly and other employee benefits such as product allowance and reporting to employees, cellular reimbursement, etc.
Assist NY Finance counterparts in budgeting process
Approve and coordinate changes and improvements in automated financial and management information systems for the winery (Maintenance Connect, E1)
Compliance: 25%
Maintain licenses for DTC wine sales
Partners with IT to conduct PCI compliance assessments, maintains employee training and documentation
Responsible for the record documentation process and ensures compliance with record keeping procedures
Performs special assignments, projects, and other duties as required.
Oversee Standard Operating Procedure documentation and maintenance
Nature & Scope:
Position works under the direction of the Director of Retail; and closely with the Wine Club Manager and Visitor Center Mangers. Typically works with multiple members of Mumm Napa winery including, but not limited to, Brand, Winemaking, Operations, and Finance. Communication can include sensitive information requiring complete confidentiality and discretion in dealings and contacts. Decisions impact the group and organization as a whole.
Key Competencies:
Bachelor's degree in Accounting or Finance, MA or MBA highly preferred
Experience / Background:
8 years of relevant experience; CPA certification preferred
Accounting and/or operational experience in the wine industry
Required Skills/Competencies:
Experience working with winery retail POS systems and tax reporting systems such as ShipCompliant
Experience in successful implementation of financial systems (ERP/data warehouse/planning tools)
Strong problem solving, documentation, research and resolution, data analysis and excel and database management skills
In-depth knowledge of inventory cost accounting and inventory control
Exceptional organization, time management and verbal/written communication skills
Ability to interpret data, analyze reports and make recommendations/implement actions
Thinks strategically and understands the risks and impact of controls
5-10% of time

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster.
